If needed, this section will function as an introduction to the manual – giving some basic details about the functionality and an outline of its purpose.

Exploring content types

Inverifi has 5 main content types that you can use in your organisations, they are as follows:

 

 

While individually all these content types are used for different purposes, we wanted the way you built and edited them to remain similar. We strive to make this product as consistent as possible, part of that reflects in how our content types are displayed. You will notice we try to use the same layout and structure throughout the various content types, this is a deliberate design in order to help you learn the product faster and easier – With the idea being once you understand one content type, you understand all of them.

This section will cover all the interactions you can have with the different content types, while also highlighting any unique features with a specific type.

All content types have 3 areas that I will refer to, those are:

 

  • View page
  • Action panel
  • Info page

 

The next three sections will break each of these down and what you can expect to find on each one.

 

1.1) View page

Inverifi-View-Button-Set

Used for viewing content and making general changes to the document, the view page has a few note worthy additions to discuss:

Archiving: Archiving allows for a content owner or manager to essentially remove the document from the documents table, without needing to delete the document. This is useful for moments where pieces of documentation become outdated/ redundant, instead of deleting the document you may instead just archive it.

Upload attachment: You can attach any external file to a document inside Inverifi. We understand it won’t make sense all the time to create something inside of Inverifi, for those moments you can upload an attachment file. Once a file has been uploaded you can find it on the info page, you can then download the file whenever you like.

Follow: Users may follow documents, this will allow them to find a document more easily in the future. You will be able to see all the documents you follow by clicking your profile icon, then clicking the following option.

Add to: This is a quick way to add documents to any folder you have access to in Inverifi. Simply select a Organisation, team or custom made folder and the document will be added.

1.2) Action panel

All content types also have the icons that float on the right side of the document, we call this the action panel. These are convenient to access formatting and editing tools, ranging from tags to comments.

Comments: A familiar feature for a lot of people comments, works just how you’d expect. Users may leave a comment on a document while also replying to one. Where this may differ to what you are used to is that Inverifi lets you attach a tag to a comment, this is great for when you are commenting for evidence purposes or confirming a review.

Action panel: Page

Content specific options

Usage: Only available on answers and Diagrams. The usage icon allows you to see where the content has been inserted, this creates a clear trail of all the locations this piece of content is being used through out Inverifi.

Table of contents: Specific to just manuals and pages. The table of contents is a powerful tool which speeds up navigation in a large manual. The table of contents will provide the whole manual structure, showing pages and headings. Clicking any of these will take you to that exact place in the document!

1.3) Info page

Revisions: All documents have revisions, this provides a trail of all content changes made to the document. The revision will reveal who made the change as well as when they made the change. All current and previous revisions can be viewed and reverted if need be so if a change was made that you are not happy with, you can revert the document to a previous version.

 

How to use revisions:

 

  1. Make sure you have the role editor or manager on a document
  2. Click on the “info” tab
  3. Click “See version history”
  4. Click the menu button on a revision (The three dots)
  5. Select revert

 

This will then make that revision the most current version of the document. This will also create a new revision so if you change your mind, you can just revert back to the original.

 

Content visibility: By default documents are visible to all members of an organisation. The content visibility switch allows you to make documents hidden from users that are not a direct member of the document, perfect for draft documents or just information you don’t want anyone else to see.

 

Standards: This is used for assigning annex controls to your documentation. We have an depth guide that explores how to set up and use standards here.

 

Related people: This section is for assigning users to the documentation and defining their role in the content workflow. You’ll be able to set an “Assignee” and “Approver” as well as populate the RASCI fields. If you’re not familiar with what RASCI is it stands for:

 

  • Responsible
  • Accountable
  • Supported
  • Consulted
  • Informed

 

This is a useful method for managing projects and documentation, as each of the letters in RASCI represent the level of involvement and responsibility that person will have in the project or with the document. RASCI fields can have both users and teams assigned, allowing greater flexibility in management.

 

Tags: All documents have the ability to be tagged (Excluding risks which use categories). Users have pick from default tags “Completion state” and “content type” or to assign their custom made tags.

 

To assign a tag to you document you must:

 

  1. Open a document
  2. click on the info tab
  3. Scroll down to tags
  4. Select an option from the default selection or click on a custom user made tag

 

This will then assign that tag to the document. We have a more in depth guide on how you can create and mange tags, the guide can be found here.

 

Related content: It is possible to create links between various different Inverifi documents using related content. Useful for the situations where multiple documents are relevant to a topic, you can create a link between content making navigation quicker and easier.

 

To add a related content you must:

 

  1. Make sure you have editor or manager permissions on the document
  2. Click on the info tab
  3. Click the circular plus icon
  4. Select or search for the document that is related
  5. Finally select the document

 

This will add the document to the related section, clicking the document will then take you to it. It’s worth noting adding a related document does not create a two way link so the document you add as related will not have their related content section modified.
